Your new role includes:
- Evaluate & review all incoming Tenders
- Add all tenders received to Crowsnest with the correct and accurate details, project name,clients etc.
- Professionally Estimating and Pricing Tenders, reaching tenders dates required by our clients and agreed with Operations Manager.
- Ensuring the labour and material elements of their pricing are accurate as possible -software specific training will be given.
- Ensuring BoQ is added to Crowsnest Estimate.
- All tender submissions to be submitted clearly and presented well with any possible stipulations highlighted clearly in the email to our customers.
- Responding and communicating with our clients and contractors at the tender stage to ensure tender is submitted to our customers’ satisfaction.
- Keeping Operations Manager & Managing Director copied in on all tender submissions and costing correspondence.
- To ensure all projects are priced as specified, if not this is to be noted clearly for clarity internally and for our customers.
- Ensuring all materials and finishes detailed in the specification are identified correctly.
- Note any items that can’t be priced as specified as provisional or alternative listed clearly.
- Sourcing specialist suppliers for any non-stock materials or products.
- Understanding each project thoroughly before the acceptance of any project, so we have the confidence to deliver on the proposed budgets.
- Being proactive and accommodating with customers with emails, phone calls at tender stage to give the company the best chance of securing projects eg. Proposing VE Options as alternatives.
- Relationship Building with clients and other Quantity Surveyors to assist with workflow
- To be proficient and prompt at advising customers on tender return dates.
- To be proficient and prompt at following up and getting feedback on our quotes – ensuring notes and details are all added to our Crowsnest software upon receipt.
- Assist PMs with any additional works or change orders if required
- Being proactive in sourcing prices and quotes for materials and elements required in the tenders.
- Adding relevant RFQs with quotes to Crowsnest.
- Being aware of any red flags, long lead items before Operations Manager agrees to take on any projects.
- Confident and direct at initial pre-award meeting and internal design meeting with all information to hand, as the estimator you need to know the project inside out at the start of our internal process.
- Carry out his position in a very professional manner.
- Negotiating and agreeing contracts under direction and supervision of the Operations Manager.
- Presenting his agreed KPIs at monthly team meeting and weekly meetings with Operations Manager
- Customer Relations and helping take onus off Operations Manager for workflow.
- Report to Operations Manager with any issues or decisions that can’t be actioned or agreed.
- Report to Operations Manager on a weekly basis with relative KPI’s set out below.
- To carry out his role with honesty, with integrity, transparency and professionally.
- Please understand you are to work the hours required to deliver your KPIs.
- Excellent Communication and interpersonal skills.
- Effective & Professional email writing & communication skills.
- Professional & mannerly, especially being the main point of contact to customers.
- It is essential that you have good negotiating skills, know how to get your point across, but are also approachable and friendly.
- Good time management skills, and prioritization of tasks.
- Good Computer Skills – able to navigate quickly between Office/Outlook/Excel and Crowsnest
- Ensuring information that is being received or delegated is understood correctly and precisely.
- Data Processing and ensuring information in our CRM system is correct, clean, and up to date always.
